Logging emails
Why log regular email
Zivver prevents data leaks and ensures compliance. To support this, Zivver provides smart business rules that secure sensitive data and prevent human errors. Zivver also offers reporting, which helps you monitor and improve your data leak prevention strategy and investigate potential data leaks.
You can only take full advantage of these features if you register regular emails:
- To improve your data leak prevention, you must understand how users respond to security recommendations. This reporting is only available if Zivver registers when a user ignores a recommendation and sends a regular email.
Specifically enabling this logging allows Zivver to show you the percentage of messages with particular business rule violations that were sent securely. - Logging allows you to investigate incidents. It also helps you meet your regulatory responsibility to report data leaks to the authorities. When using Zivver, the greatest risk of data leaks occurs when users ignore warnings and send regular emails. The logs reveal this risky behavior only if you collect information on regular emails.
Overall, you can significantly improve your ability to prevent data leaks and stay compliant if you register regular emails with Zivver. Therefore, we strongly recommend enabling this setting.

Which emails to log
With Zivver, you can register information about your secure messages — and you can also do this for your regular emails.
Zivver strongly recommends registering information for all emails, for all users.
Logging regular emails is essential for identifying possible security incidents. It also enables the optimal functioning of Zivver’s business rules. These rules adapt to your communication patterns. By registering your regular emails with Zivver as well, you can more effectively prevent data leaks and maintain compliance.
This setting is available in the Zivver Office Plugin and the Zivver Outlook Web Access add-in. When enabled, a minimal amount of information is registered whenever a user sends a regular email. This data collection fully complies with our privacy policy and data processing agreement.
Specifically, we store:
- That a regular email was sent.
- Whether Zivver warnings were ignored.
- Email metadata necessary to investigate data breaches.
Examples include the subject line, recipient email addresses, and the filenames of attachments.
For regular emails, Zivver does not store the email body or attachments. Zivver processes the metadata using the same strong security measures already in place for the highly sensitive data in your secure messages.
Enable regular email
We recommend setting this feature to On, enforced for all users. This prevents blind spots in your security monitoring.
- In the Zivver admin panel, open the Plugin settings.
- Set Collect information about emails sent without Zivver to On, enforced.
