Automated User Deletion
Zivver now offers an automated process to delete suspended user accounts after 90 days. This feature allows organizations to better align their Zivver account management with existing account deletion policies thereby saving time and reducing administrative overhead.
How does Automated User Deletion work
Once enabled, this feature will delete users after 90 days. This implies that:
- Accounts that are already suspended for more than 90 days when the feature gets enabled, will be suspended within the next 24 hours.
- Accounts that were suspended for less than 90 days will get deleted 90 days after their actual suspension date.
- Accounts that were suspended before 14-01-2025, suspension date 14-01-2025 will be assumed. This behavior is related to the start of tracking suspension dates when we released this feature at 14-01-2025.
Full Admins and Functional Accounts will not be affected by this feature.
How to Enable Automated User Deletion
Step 1: Access the Zivver Organizational Settings
Log in to your Zivver Organizational Settings with your administrator credentials.
Step 2: Enable the Feature
- Navigate under User administration to the Account automation section.
- Enable the setting.
- Click Save.
- Review the information in the confirmation screen.
- Click Confirm.
FAQs
Q: What happens if I unsuspend a user?
If you unsuspend a user, they will not get deleted anymore. If you then suspend the user again, the suspension date will be reset to the last time the user was suspended.
Q: What happens if I disable the setting?
If the setting is disabled, no accounts will get automatically deleted anymore.
Q: Can an administrator still access messages of a deleted account?
No, administrators cannot access messages of deleted accounts anymore. If the administrator needs to retain access to messages of a certain mailbox, we recommend converting this mailbox to a functional account.
Q: Can recipients of messages sent by deleted users still access these messages?
Yes, messages of deleted users stay visible for recipients. If you would like messages to be also deleted for recipients (30 days after deletion of the sender), please contact our Support team to enable a message deletion feature that we offer for this.
Q: Can I recover a deleted account?
No, deleted accounts and their associated data cannot be recovered. Please ensure the suspension process is accurate before enabling this feature.
Q: Does this feature affect functional accounts?
No, functional accounts are excluded from automatic deletion.
Q: Does this feature affect administrators?
If your organization uses Role-Based Access Control, the automated deletion will not apply to Full Admins. It will apply to other administrator roles. If your organization does not use Role-Based Access Control, it will not apply to any administrator.
Q: Can I exempt suspended accounts from getting deleted?
No, there is currently no way to exempt accounts from this process. A workaround to keep access to the data, is to convert the account to a functional account.
Q: Can I set a custom deletion timeframe?
No, currently this is a fixed time, as this aligns with the retention policies of most of our customers.
Q: What happens if my organization uses automated synchronizations?
The feature works alongside automated synchronizations and will gradually delete accounts in small batches based on the synchronization schedule.
Q: How do I track which accounts got deleted by this feature?
The audit log captures an event for each deleted user account.
